The realistic productivity picture: where AI removes hours from Excel work, and the checks that keep results trustworthy.
AI has changed the shape of Excel work rather than removing it. The mechanical parts — drafting formulas, describing patterns, summarising a table in words — are faster. The judgement parts are unchanged.
Three ways AI meets Excel
- Outside the file: ChatGPT or a similar assistant used to draft formulas, plan cleanup and explain errors
- Inside the file: Microsoft Copilot for Excel, which reads the workbook itself and can add columns, formulas and PivotTables
- Behind the file: AI features inside Power Query and Power BI that suggest transformations or surface patterns
Where the time is actually saved
| Task | Traditional | With AI assistance |
|---|---|---|
| Writing a complex conditional formula | Trial and error | Draft, then verify on known rows |
| Understanding an inherited workbook | Manual tracing | Ask for a plain-language explanation of each formula |
| Planning a monthly cleanup | Ad hoc | Generate an ordered step list, then build it in Power Query once |
| Writing the commentary on a report | Slow | Draft from the summary table, then edit for accuracy |
Where AI should not be trusted
- Deciding which metric answers a business question
- Judging whether a data source is complete or reliable
- Any final number that goes to a regulator, client or board without human verification
- Anything involving confidential data pasted into a tool your organisation has not approved
The skills that matter more now
Clean data structure, understanding of what a calculation means, and the ability to sanity-check an answer. AI raises the value of those skills, because it produces plausible output quickly and only a competent user can tell whether it is right.
Frequently asked questions
- Will AI replace Excel analysts?
- It changes the work rather than removing it. Drafting is faster; deciding what to measure, checking data quality and interpreting results still require a skilled person.
- Do I need a paid AI tool to benefit?
- No. A great deal of the benefit comes from using an assistant well for formulas, cleanup planning and explanation. Copilot inside Microsoft 365 adds in-file capability and requires the relevant licence.
